Village Produce Show - Advice on Booking Entrants In

    Hi Everyone

    I am on the committee of our local village produce show which is taking place on 4th September (10 days away!).

    At the committee meeting last night it came to light that the Access system we normally use for booking in entrants has crashed and we are unable to use it.

    This has sent us into a bit of a panic as none of us are computer experts and I wondered if anyone could offer advice on how to book entrants in using a more basic method, the simpler the better to be honest. I have a general working knowledge of Excel, but am by no means an expert, so could use that but wouldn't be able to create any complicated formulas.

    We have everything else in place such as the show schedule, individual classes, judges and helpers - it's just this last minute headache with booking people in that we would really appreciate some advice on

    Pen and paper is the easiest if it's just you.

    Is this something you have to share with others? If so use a shared google sheet, assuming you all have a google account.

    Thinking about it, it's only you will need a gmail account to create a google sheet (spreadsheet) and you can share it with others.

    Do you know about Eventbrite and Ticketsource? Take a look if not, I've more experience of the former which works well enough for lectures etc. Both are free to use if the event is free; if you need to take payment at time of booking you can set that up too, but they will take a fee.

    If it's just booking them in then paper would be the easiest although will take more time. It depends on how wide spread your people are and whether you have a website. With a website or a village Facebook page you could get them to enter through those, or by email and then it's just a slightly tedious matter of entering them on a spreadsheet - either on computer (Excel) or a paper spreadsheet.

    By 'crashed' do you mean temporarily down, or has the vendor gone bust and not paid their bills?

    10 days is a very long time for a technical outage. It's always wise to have a plan B but if it's still 10 days away, unless your usual service has permanently closed I'd work on the assumption it will be back up in time.
